Payment Policy

• Payment Method: Payment can be made only by credit card. No other payment methods, including bank transfers, are accepted.

Registration Cancellation Policy

• All cancellations are subject to a 100 € administrative fee.
• If you cancel before 5 April 2026 – 100% of the ESACT MEETING fee is refundable.
• If you cancel from 6 April 2026 to 6 May 2026 – 50% of the registration fee is refundable.
• No refunds are payable from 7 May 2026 onwards.
• Please note, if you register and do not attend the ESACT MEETING 2026, you will be charged your participation fee and will be required to settle any outstanding balances.

Changes, substitutions and cancellations of registration

• Substitutions/replacements can be made at any time and are subject to a 100 € administrative fee.
• Notification of changes or cancellation must be made in writing and sent to the ESACT MEETING 2026 Professional Congress Organizer at moc.6202tcaseobfsctd-8438e5@ofni.

Cancellation and refund policy

• All applicable refunds will be made as soon as possible.
• Bank service charges and all administration fees will be deducted from all ESACT MEETING registration refunds.

Cancellation of the ESACT MEETING

• In the unlikely case of cancellation of the event, the organizers shall not accept liability for any consequential loss and shall have no liability to reimburse any other costs that may have been incurred, including transport costs, accommodation etc. Delegates are encouraged to take out travel insurance when making travel and accommodation arrangements.

Photography, audio recording and video recording

• Photography, audio recording and video recording may be taking place at the ESACT MEETING. The release, publication, exhibition, or reproduction of this content will be used for news, webcasts, promotional purposes, advertising, inclusion on websites, social media, or any other purpose by the ESACT MEETING, its sponsors/exhibitors and its affiliates and representatives. Please notify us if you wish to be removed from any such materials in advance of the ESACT MEETING 2026 by emailing  moc.6202tcaseobfsctd-7dc95f@ofni.

Privacy

• By accepting these terms the participant also declares that he/she allows his/her personal information to be publicly accessible and displayed on the list of participants to everyone. The participant may revoke this approval at any time by writing to ESACT e.V.
• All personal data provided to ESACT e.V. for the event registration will be treated confidentially. Data shall be delivered to assigned service providers, as deemed necessary for the successful performance of the event. ESACT e.V. will only disclose or share information with third parties if it is necessary for the fulfilment of the ESACT MEETING 2026.

Code of Conduct

• This ESACT MEETING is dedicated to providing a harassment-free MEETING experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. We do not tolerate harassment of delegates or service personell in any form. Inappropriate language and imagery are not acceptable to be included in presentations, workshops, networking forums and other online media. ESACT MEETING 2026 delegates violating these rules may be sanctioned or expelled from the MEETING without a refund at the discretion of the ESACT MEETING organizers.
